Our B2B UX design process — a 4-step sprint

Research to production in 2-4 weeks. Every step named, scoped, and evidence-based — no guessed design.

    Research & jobs-to-be-done

Kickoff with an ICP workshop, 5-8 stakeholder interviews, and a jobs-to-be-done (JTBD) mapping session. We pull existing product analytics (Mixpanel, Amplitude, PostHog), session recordings (Hotjar, Microsoft Clarity), and support-ticket themes. Output: a JTBD map, 2-3 persona snapshots, and a prioritised hypothesis list — the scaffolding every subsequent design decision is measured against.

    Journey mapping & information architecture

We map the end-to-end product journey — signup, activation, core loops, admin-side tasks — and surface the drop-offs. Then rebuild the IA: nav hierarchy, role-based access, dashboard structure, form fields. Deliverables: annotated journey map, sitemap, low-fidelity wireframes. No pixel work until the structure is signed off by product, engineering, and support.

    Prototyping & usability testing

High-fidelity Figma prototypes for the 3 highest-leverage flows (typically onboarding, a core dashboard, and one admin task). We run 5-user usability tests — industry usability research suggests 5-6 users surface roughly 85% of issues — moderated, recorded, and synthesised into a prioritised fix backlog. Iterations happen live, not in a 4-week handoff loop.

    Ship, instrument, measure

Production handoff to your engineers in Figma with tokens, components, and spec. We wire analytics (GA4, Segment, Amplitude), heatmaps (Hotjar, Microsoft Clarity), and post-launch event tracking. First post-ship review at day 14: activation rate, time-to-value, form-completion lift. We stay on the product for the retainer — not gone after handoff.

What we actually do on your product

  • Research
  • Journey
  • Prototype
  • Dashboard
Interviews, JTBD, and the ICP workshop

Every B2B UX engagement starts with 5-8 customer interviews, an ICP workshop, and a jobs-to-be-done mapping session. We pull your analytics, read your support tickets, and watch your session recordings before we open Figma. The goal: understand why users show up, what they're hired to do, and where the product fights them today. Design without research is $0 pipeline.

Map the flow, then the screens

Before pixels, we map the journey: signup, first-run, activation moment, recurring core loop, admin-side workflows. We chart the drop-offs (where form friction, nav confusion, or unclear value kills activation). Then we rebuild the IA — nav hierarchy, role-based access, dashboard structure — and wireframe every critical flow. The journey map becomes your product team's reference doc for years.

5 users, 85% of issues, one afternoon

Industry usability research suggests 5-6 users surface roughly 85% of usability issues. We run 5-user moderated tests on every high-fidelity prototype, synthesise findings into a prioritised fix list, and iterate. No 30-day research deliverables, no handoff-and-hope. Figma prototypes are interactive, accessibility-checked (WCAG 2.2 AA), and signed off by product + engineering before spec goes to dev.

The admin UI is half your product

Most B2B UX agencies ship marketing sites and call it product design. We ship dashboards, admin UIs, settings pages, data visualisations, form-heavy flows, and role-based access views. The admin side is where churn actually happens — if power users can't get work done, the contract doesn't renew. We design the boring 80% of product UX other agencies skip.

"One of the best decks our investors have seen"
Talk to sales

I have been raising a Series A and needed help immediately, not in a month. Waveup helped in record time; everything was ready in less than a week, and best of all, the work was fantastic. I would recommend them to anyone fundraising. I had several investors tell me it was one of the best decks they've seen in a while visually. We already raised $3M from Y Combinator and big US VCs, thanks to the Waveup deck.

The Waveup team has been a trusted advisor in not only helping us shape our pitch deck, but also in providing guidance and insight into the fundraising process and market. Their team is always willing to take time to listen, work with us, and advise without ever making us feel like we're being rushed through any process.

Very satisfied with the results of our partnership with WaveUp. Special thanks to Olena and Igor for their support in fundraising. Clear and high-quality pitch deck, which helped me to raise 750K for obimy. Also, financial model which they built for us was not just a beautiful spreadsheet with numbers, but really useful and helpful in everyday usage and improving our revenue.

"High-quality insights and on-time delivery"
Talk to sales

We engaged Waveup to perform industry research and prepare a teaser, a confidential information memorandum, and an Excel-based financial model. They delivered everything on time and consistent with the established timeline. What stood out most was their ability to conduct a deep analysis of our target industry and produce high-quality work and insights.

"Strong research, efficient collaboration"
Talk to sales

Waveup assembled data from us and third-party sources to create an investment memorandum for a potential acquisition. Despite slower info flow on our side, they conducted strong third-party research and delivered an excellent document for use with investors. Project management followed a clear milestone-driven schedule and generally met expectations. Although based in Europe, the team communicated efficiently with us in U.S. time zones and produced a document comparable to those from large investment banks.

Who should be your B2B UX design agency?

Enterprise UX shops
  • Clay, Frog, Work & Co — Fortune 100 client lists
  • Blended rate pricing, quoted per engagement
  • 4-6 month discovery-heavy cycles
  • Misfit for seed/Series A SaaS on runway
  • Beautiful work, wrong stage for funded startups
Research-first UX agencies
  • UX Studio, Apexure — strong discovery deliverable
  • $3K-$15K/mo retainer range (Superside benchmarks)
  • Hand off Figma; client takes it to engineering alone
  • No build, no instrumentation, no post-ship measurement
  • Great research, incomplete ship
Waveup
  • Research + design + build + instrumentation under one retainer
  • Same team has helped raise $3B+ across 600 startups
  • $5K/mo Scale (from $7.5K) — focused product UX with 5-user usability tests
  • $10K/mo Multi-workstream (from $12.5K) — parallel dashboard + onboarding + marketing
  • Ship Hesytech-scale ($8M raised on 3-week product UX) or N² Labs-scale (2-week dashboard → 5x leads)
  • Investor-diligence lens: your admin UI will survive the Series A product demo

Building something ambitious?

We partner with funded founders on landing pages that have to survive a Series B rewrite and a fundraising diligence review. Let's scope it.

B2B UX design FAQ

What is a B2B UX design agency?

A B2B UX design agency is a firm that researches, designs, and ships user experience for business-facing software — think SaaS products, enterprise dashboards, admin panels, and complex internal tools — rather than consumer apps or marketing sites. Scope typically covers ICP research, jobs-to-be-done mapping, journey design, information architecture, wireframing, high-fidelity Figma prototyping, usability testing, and production handoff. Waveup is a B2B UX design agency for funded SaaS startups: since 2014 we've shipped product UX for 600+ companies, with $3B+ raised on products we helped design. Unlike marketing-site shops, we specialise in the admin side of products — dashboards, settings, and form-heavy flows — where churn actually happens. A general b2b design agency handles marketing sites and brand; a B2B UX design agency specializes in the product interface itself — the software your customers use daily.
